How to Set Up AirPrint on Any Printer

How to Set Up AirPrint on Any Printer?

What Is AirPrint and How Does It Work?

AirPrint is Apple's built-in wireless printing technology that lets you print directly from your iPhone, iPad, or Mac without installing any drivers or software. It works over your WiFi network - as long as your printer and Apple device are connected to the same WiFi, you can print documents, photos, emails, and web pages with just a few taps.

Most modern printers from HP, Canon, Epson, Brother, and other major brands come with AirPrint support built in. You do not need to download anything or configure complicated settings. If your printer supports AirPrint, it just works.

How to Check If Your Printer Supports AirPrint

Before setting anything up, check whether your printer has AirPrint support:

  • Look at your printer's box or manual for the AirPrint logo
  • Check Apple's official AirPrint printer list on their support website
  • Open the Settings app on your iPhone, go to any document, tap Share > Print, and see if your printer appears in the list
  • Most printers manufactured after 2013 from major brands support AirPrint

Set Up AirPrint on iPhone or iPad

Setting up AirPrint on your iPhone or iPad takes less than a minute:

  1. Make sure your printer is turned on and connected to your WiFi network
  2. Connect your iPhone or iPad to the same WiFi network as your printer
  3. Open the document, photo, email, or web page you want to print
  4. Tap the Share button (the square with an arrow pointing up)
  5. Scroll down and tap Print
  6. Tap Select Printer - your AirPrint-compatible printer should appear in the list
  7. Select your printer, choose the number of copies and other settings
  8. Tap Print in the upper-right corner

That is it. No drivers, no apps, no configuration needed. Your document will start printing within seconds.

Set Up AirPrint on Mac

Printing via AirPrint from a Mac is equally simple:

  1. Make sure your Mac and printer are on the same WiFi network
  2. Open the file you want to print
  3. Click File > Print (or press Command + P)
  4. Click the Printer dropdown menu
  5. Your AirPrint printer should appear automatically - select it
  6. Adjust settings like pages, copies, and paper size
  7. Click Print

If this is the first time you are printing to this printer, macOS may automatically download the correct driver in the background. This happens once and takes just a few seconds.

How to Add an AirPrint Printer Manually on Mac

If your printer does not appear automatically, add it manually:

  1. Go to System Settings > Printers & Scanners
  2. Click the + button to add a printer
  3. Your printer should appear in the list - select it
  4. Make sure AirPrint is selected in the Use dropdown
  5. Click Add

What If Your Printer Does Not Support AirPrint?

If you have an older printer that does not support AirPrint, you still have options to print from your iPhone or iPad:

Option 1: Use the Printer Manufacturer's App

Most printer brands offer free apps that let you print wirelessly even without AirPrint:

  • HP Smart - for HP printers
  • Canon PRINT - for Canon printers
  • Epson iPrint - for Epson printers
  • Brother iPrint&Scan - for Brother printers

Download the app from the App Store, connect to your printer, and print through the app instead of the system print dialog.

Option 2: Use a Computer as a Print Server

If your printer is connected to a Mac or Windows PC via USB, you can share it on the network and print from your iPhone through that computer. On Mac, go to System Settings > Printers & Scanners, select your printer, and enable Share this printer on the network.

Troubleshooting: AirPrint Not Working

If AirPrint was working before but stopped, try these fixes:

  • Check WiFi connection - Make sure both your Apple device and printer are on the same WiFi network. If your router has separate 2.4GHz and 5GHz bands, try connecting both devices to the same band
  • Restart everything - Turn off your printer, wait 30 seconds, turn it back on. Also restart your iPhone or Mac
  • Update your device - Go to Settings > General > Software Update on your iPhone to make sure you are running the latest iOS version
  • Check printer firmware - Visit your printer manufacturer's website and update the printer firmware if available
  • Disable VPN - If you are using a VPN on your Apple device, it can block local network communication. Turn off the VPN and try printing again
  • Reset network settings - On your iPhone, go to Settings > General > Transfer or Reset > Reset Network Settings. This resets all WiFi passwords so make sure you know your WiFi password before doing this

Print from iPhone Without WiFi Using AirPrint

Some printers support WiFi Direct printing, which lets you print from your iPhone even without a WiFi router. The printer creates its own wireless network that your phone can connect to directly. Check your printer's settings for WiFi Direct or Wireless Direct mode, connect your iPhone to the printer's network, and print as usual through the Share menu.

AirPrint Setup FAQ

Q1. Is AirPrint free to use? Ans: Yes, AirPrint is completely free. It is built into every iPhone, iPad, and Mac running a modern operating system. There is no app to download and no subscription required. The only requirement is that your printer supports AirPrint and both devices are connected to the same WiFi network.
Q2. Can I use AirPrint with any printer brand? Ans: AirPrint works with most printers from HP, Canon, Epson, Brother, Samsung, Lexmark, Ricoh, Kyocera, and other major brands. However, the printer must have AirPrint support built in. Most printers manufactured after 2013 include it. Check Apple's support page for the full list of compatible printers.
Q3. Why is my AirPrint printer not showing up on my iPhone? Ans: First, make sure your iPhone and printer are on the same WiFi network. Restart both the printer and your iPhone. Check if your router has client isolation or AP isolation enabled, as this blocks devices from seeing each other. Also try forgetting your WiFi network on your iPhone and reconnecting. If nothing works, try resetting your printer's network settings and setting up WiFi again.
Q4. Can I print from my iPhone without WiFi? Ans: Yes, if your printer supports WiFi Direct. Enable WiFi Direct on your printer through its settings menu. Your printer will create its own WiFi network. On your iPhone, go to WiFi settings and connect to the printer's network. Then print normally through the Share menu. Note that you will not have internet access while connected to the printer's WiFi Direct network.
