How to Fix HP Printer Offline Error on Windows 11?
Your HP printer was working yesterday and today Windows 11 says it is offline. You have checked the cables, the printer is on, the WiFi light is solid, but your computer still refuses to acknowledge it. This is one of the most common printer problems on Windows 11 and the good news is that it is almost always a software issue rather than a hardware failure.
Check If the Printer Is Actually Turned On and Connected
Start with the obvious. Make sure the HP printer is powered on and not in sleep mode. Press the power button and wait for the display or lights to fully activate. If you are using a USB connection, check that the cable is firmly plugged into both the printer and the computer. Try a different USB port. For WiFi printers, confirm the wireless light on the printer is solid and not blinking. A blinking light means the printer is not connected to your network. Print a wireless network test report from the printer menu to verify it is on the correct WiFi network.
Set Your HP Printer as the Default Printer
Windows 11 has a feature called Let Windows manage my default printer that automatically changes your default printer based on the last one you used. This can cause your HP printer to lose its default status and appear offline. Go to Settings then Bluetooth and Devices then Printers and Scanners. Turn off the toggle for Let Windows manage my default printer at the bottom. Then click on your HP printer and select Set as Default. This locks your HP printer as the primary device.
Disable Use Printer Offline Mode
Windows 11 has a setting that can put your printer into offline mode without you knowing. Go to Settings then Bluetooth and Devices then Printers and Scanners. Click on your HP printer, then click Open Print Queue. In the print queue window click the Printer menu at the top and look for Use Printer Offline. If there is a checkmark next to it, click it to uncheck and take the printer back online. While you are there, also click Cancel All Documents to clear any stuck print jobs that might be preventing new ones from going through.
Restart the Print Spooler Service
The print spooler is the Windows service that manages all print jobs. When it crashes or gets stuck, your printer shows as offline even though everything else is fine. Press Windows key plus R, type services.msc, and press Enter. Scroll down to Print Spooler, right-click it, and select Restart. If the service is stopped, click Start instead. After restarting the spooler, try printing a test page. If the spooler keeps crashing, open Command Prompt as Administrator and run these commands: net stop spooler, then del /Q /F /S "%systemroot%\System32\spool\PRINTERS\*.*", then net start spooler. This clears all stuck print jobs and gives the spooler a clean start.
Update or Reinstall the HP Printer Driver
Windows 11 updates sometimes break printer drivers or install generic drivers that do not work properly with your specific HP model. Go to the HP support website at support.hp.com, type your printer model number, and download the latest full-feature driver for Windows 11. Before installing, go to Settings then Bluetooth and Devices then Printers and Scanners, click your HP printer, and select Remove Device. Then install the fresh driver you downloaded. This gives you a clean driver installation without any leftover files from the old setup.
Check the Printer Port Configuration
If your HP printer is connected over WiFi and its IP address changed, Windows 11 is still trying to send print jobs to the old IP address. Open Control Panel then Devices and Printers. Right-click your HP printer and select Printer Properties. Click the Ports tab and look for the checked port. If it shows a WSD port or an old IP address, click Add Port, select Standard TCP/IP Port, and enter the printer current IP address. You can find the printer IP by printing a network configuration page from the printer menu or checking your router connected devices list.
Run the Windows 11 Printer Troubleshooter
Windows 11 has a built-in troubleshooter that can automatically detect and fix common printer problems. Go to Settings then System then Troubleshoot then Other Troubleshooters. Find Printer and click Run. The troubleshooter will scan for issues with your printer driver, spooler service, and network connection. It will attempt to fix any problems it finds automatically. While this does not fix every issue, it handles the easy ones and can point you in the right direction for the harder ones.
Assign a Static IP to Your WiFi Printer
If your HP printer keeps going offline every few days on WiFi, the router is probably assigning it a different IP address each time. Log into your router admin page and find the DHCP reservation or static IP section. Add your printer MAC address and assign it a permanent IP address. Then update the printer port in Windows to use that static IP. This prevents the printer from ever changing its address and eliminates the most common cause of recurring offline errors on WiFi printers.
